AAII relies on volunteers to organize and manage all the aspects of producing seminar meetings in Madison and elsewhere. Volunteers find and book speakers and speaking venues, maintain promotional materials, contact members, conduct meetings, and more. Your help is needed. If your are willing to volunteer some time to this effort, please contact Jared Bessert at 608-233-2065. Please include your name, address and phone number. Also, mention your areas of interest.
Here is a list of volunteer activities needed organized by broad categories.
Booking Speakers
- Find speaker ideas.
- Commit a speaker for each meeting.
- Gather information on topic and speaker bio.
- Assist speaker at meetings as needed.
- Introduce speakers at meetings (may be job of coordinator)
- Follow-up with speaker before and after each meeting.
Promotion
- Write promotional info for flyers sent announcing each meeting.
- Gain speaker?s approval of write-up.
- Send write-up to Milwaukee.
- Write promotional info to email to members and send it.
- Write meeting reminder and send it.
- Promote meetings in Madison-area in local media.
- Maintain "Community Pages" web site.
Membership
- Maintain database of members.
- Maintain email address book of members.
- Develop member surveys.
- Evaluate survey results.
- Prepare promotional materials to encourage members to join AAII.
Venue
- Research and visit potential venues.
- Negotiate costs including room fee, set-up, food, projecting equipment, etc.
- Book dates at least three months prior to each meeting.
- Follow-up shortly before meeting to insure all details are covered.
- Make payment where necessary.
- Evaluate success of each venue and event.
- Meet with venue management as needed.
Check-in and event management
- Receive and log-in advanced registrations and RSVP notices.
- Give venue management an estimated head count prior to each meeting.
- Checkout venue quality at least an hour before each meeting.
- Insure equipment is working and food or other items are ready.
- Assist with room set up where necessary.
- Create and print check-in roster.
- Check-in members as they arrive and give instructions as needed.
- Collect entry fees, count receipts and turn the money over to the treasurer.
- Maintain blank name badges, pens and other check-in and meeting supplies.
- Insure that venue?s equipment is returned in working order.
Treasurer
- Open a checking account.
- Count meeting revenue and deposit it.
- Pay venue fees and other vendors as needed.
- Maintain accounting records.
- Report financial status at coordinating meetings.
Coordinator
- Schedules seminar and volunteer meetings.
- Preside over seminar and volunteer meetings.
- Follow-up with volunteers and assist with volunteer communication.
