Guidelines for the Calendar of Events Ad



Please follow the guidelines below for our free monthly calendar ads. These guidelines are designed to make the newspaper ad a more effective and eye-catching tool to help direct traffic toward member Community Pages.

  1. Make sure to enter your events in the Events Section of your Community Page.
  2. Select ONE event that you would like to publish in the newspaper. [Make sure the event is open to the public.] To list an April event, you MUST send the moderator an email by no later than 12 pm on Tuesday, March 25th.

    Indicate ONLY the following --

    Organization Name:
    Event Date:
    Event Title:

  3. Entries to be included in the newspaper ad must be an EVENT. We are defining "event" as anything that is available to the public and that lasts less than one month. Ongoing programs are not, by this definition, an event. An introductory orientation to a program or a specific activity within an ongoing program may be considered an event. Member-only meetings will not be included in the newspaper ads. If the Events Section of your Community Page does not make it clear that the event is open to the public, please include a note to the moderator in your email that the event is not member-only.
  4. Event Titles MUST be descriptive. Titles should attract attention to your event and compel the public to visit your Community Page to find out more. Titles should NOT include your organization name, contact information, the event date or the event time. The name of the sponsoring organization and the date will be automatically included in the ad. Specifics, such as time, should be included in the event description, not the event title.
  5. The event must take place in Dane County or one of its contiguous counties in order to be included in the ad.
  6. ALL EVENTS posted in the Events Section of your Community Page WILL BE INCLUDED in the Online Master Calendar of Events on the Community Pages Home Page.
  7. As always:
    • The events must take place between the first and last day of the upcoming month.
    • Each event must be posted in individual event files on the programming tool.
    • In the advertisement, the event will be posted under the "Start Date" as selected by the calendar icon on the programming tool. NOTE: Recurring events will appear in the calendar ad if the event file's start and end dates fall within the upcoming month. However, the event will only be listed once and only on the first of the month. The only way to get recurring events to appear in the calendar ad on the day they take place is to give each event a separate event file with the appropriate start date selected.
    • In the advertisement, the name of the event will be listed as it appears in the "Event Title" text box on the programming tool.
    • Events will be accompanied by the sponsoring organization's name as it appears on the Community Pages Home Page, under the categorical and alphabetical listings.
    • Please make certain this information is accurately portrayed in the programming tool by the deadline above or your event may be advertised incorrectly.
    • Please include accurate and detailed descriptions for each event listed on your Community Page, as the advertisement will refer the public to the Community Pages for more information.

Again, I want to stress that these guidelines are designed to make the calendar ad a more effective means of promoting the valuable resources online at the Community Pages.
