This handout is designed to give you a better understanding of how the newspaper operates, and to help you find the right department or person when you want to contact the newspaper with news, announcements, tips or complaints.

Please remember that a news event may be covered in the newspaper in several ways: a calendar listing, a short article, or detailed coverage by a reporter or photographer.

Providing information that clearly and accurately describes an event will enable an editor to consider the news value of the event and how it should appear in the paper.

I HAVE AN EVENT I WANT TO PUBLICIZE

The Wisconsin State Journal publishes an array of announcements each day. For most listings, information can be mailed, faxed or e-mailed to the appropriate department. The mailing address for all announcements is: Wisconsin State Journal, P.O. 8058, Madison, WI 53708. However, in most cases you will find e-mail a quicker and more reliable way of getting your message to the right person in a timely way.

To minimize the possibility of error, we generally do not take announcements over the phone, though we welcome phoned news tips. For announcements and listings, please include a daytime phone number and contact person we can call with questions. If sending e-mail, include the type of listing in the "subject" heading.

Deadlines vary, but the earlier you tell us about your event, the better. Because some sections are printed in advance, please plan to submit your item at least 10 days before the event.

EVENT LISTINGS: Please provide all pertinent information, including date, time, location, the names of key people involved, a brief description of the event, the price of admission (tell us if it's free, too). 77 Square calendar. The Wisconsin State Journal and Capital Times jointly publish a weekly entertainment guide. To get an event -- music, theater, festival, concert, or other entertainment -- into 77 Square, the deadline is 5 p.m. on the Friday prior to Thursday publication.

I WANT COVERAGE FOR NEWS; WHOM DO I CONTACT?

We welcome your ideas for articles or photographs. The best approach usually is to contact the appropriate newsroom department directly via phone, e-mail, letter or fax. If you are unsure of the department, you can call the general number at 252-6200 and describe the type of information you want to offer. Then you'll be transferred to someone most likely to be able to help.

LOCAL NEWS: The city desk is primarily involved in collecting local and regional news. In general, those items involve local schools, police, courts, government, the environment, human services, health and more. The city desk is staffed from 9 a.m. to 1 a.m. most days. Let your doctor know that you want the newspaper to be notified of a birth and remind a funeral director to notify us of the passing of a loved one.
